Use Case
The internal helpdesk that knows every policy, process, and answer
Conduity replaces the “ask in Slack and hope someone answers” workflow. Upload your employee handbook, IT guides, HR policies, and onboarding docs. Your team asks the agent instead of each other.
The Challenge
The Problem
Every company has the same internal information problem. The knowledge exists — in Google Docs, Notion, Confluence, shared drives, and people’s heads. But when someone needs it, they can’t find it.
- HR gets the same questions 50 times a month: “How many PTO days do I have?” “What’s the expense policy for conferences?”
- IT fields the same tickets on repeat: “How do I set up VPN?” “What’s the Wi-Fi password for the guest network?”
- New hires are lost for weeks — onboarding docs exist, but they’re scattered across 4 tools and 12 folders
- Managers reinvent processes: “How do I submit a headcount request?” The process doc exists, but searching for it takes longer than asking someone
- Tribal knowledge walks out the door when experienced employees leave
The cost isn’t just time — it’s interruption. Every “quick question” that hits a senior employee or team lead is a context-switch that costs 10–20 minutes of recovered focus.
The Solution
How Conduity Fixes Internal Knowledge
One agent for all internal questions
Create an agent with your company’s operational docs loaded into the knowledge base. Deploy it on Slack (where your team already asks questions) or the web dashboard. Anyone in the company can ask a question and get an accurate, sourced answer.
Answers from your actual docs
The agent doesn’t guess. It searches your uploaded policies, guides, and handbooks using RAG and returns answers with citations: “According to the Employee Handbook, section 3.4...” Your team trusts the answers because they can verify the source.
Different agents for different teams
Create separate agents for different functions: IT Helpdesk agent, HR agent, Ops agent. Each agent has access only to the relevant documents. The HR agent doesn’t see IT runbooks. The IT agent doesn’t see compensation data.
Self-updating knowledge
Sync from Notion to keep the knowledge base current with your wiki. When HR updates the PTO policy in Notion, the agent’s answers update automatically. No manual re-uploading.
In Practice
Real Scenarios
New hire onboarding
Day 1, 9:15 AM. New marketing hire starts and messages the onboarding agent on Slack:
New Hire
Hey, I just started today. What do I need to set up in my first week?
Agent
Welcome! Here’s your first-week checklist based on the Onboarding Guide:
Today (Day 1):
- Set up your laptop (IT setup guide)
- Activate your Google Workspace account
- Join Slack channels: #general, #marketing, #standups, #random
- Complete I-9 and tax forms in Gusto
- Read Employee Handbook sections 1-3
This week:
- Schedule a 1:1 with your manager
- Complete security awareness training
- Set up VPN access
- Review Marketing team goals doc
By end of week 2:
- Complete benefits enrollment in Gusto (deadline: 30 days from start)
- Shadow 2 customer calls with the sales team
IT self-service
Developer can’t connect to the VPN:
Dev
VPN isn’t connecting. I’m getting “authentication failed” after the OS update.
IT Agent
This is a known issue after macOS updates. The OS update sometimes resets the VPN certificate. Here’s the fix:
1. Open Keychain Access 2. Search for “CompanyVPN” 3. Delete the old certificate 4. Redownload the VPN profile from the IT portal 5. Install the new profile 6. Reconnect to the VPN
If you’re still seeing the error after these steps, try resetting your password first. If neither works, I’ll escalate to the IT team.
HR policy questions
Employee planning a trip:
Employee
I want to take 2 weeks off in March. What’s the process and how much PTO do I have?
HR Agent
Here’s the PTO process from the Employee Handbook (section 3.4):
Requesting time off: 1. Submit a PTO request in Gusto at least 2 weeks in advance 2. Your manager approves or requests a modification 3. Once approved, it’s automatically reflected in your calendar
For 2+ consecutive weeks: The handbook requires 3 weeks advance notice for requests of 10+ business days.
Your PTO balance: I don’t have access to individual PTO balances — you can check yours in Gusto under Time Off > Balance. Full-time employees accrue 1.25 days/month (15 days/year).
Want me to remind you to submit the request this week?
The agent knows its boundaries — it can explain the policy but doesn’t access individual HR data.
Process documentation
Manager needs to submit a vendor contract:
Manager
What’s the approval process for signing a new vendor contract?
Ops Agent
Per the Procurement Policy (section 2.3):
Under $5,000/year:
- Manager approval only
- Submit in the Vendor Request form
- Legal review not required
$5,000 – $25,000/year:
- Manager approval + Finance approval
- Legal reviews the contract terms (3-5 business days)
Over $25,000/year:
- Manager + Finance + VP approval
- Requires a formal RFP process with at least 2 vendor comparisons
- Legal review + InfoSec review
- Board notification if over $100K

What to Upload
Must-have (start here)
Employee handbook, IT setup guides (VPN, email, Slack, key tools), PTO and expense policies, onboarding checklist, org chart or team directory.
Nice-to-have (add over time)
Benefits enrollment guide, security and compliance policies, vendor and procurement processes, office procedures, travel and expense policy, performance review process, emergency contact and incident procedures.
Power user move
Sync your Notion workspace. If your company wiki is in Notion, connect it and the agent stays current automatically. Update a policy page in Notion, the agent’s answers reflect the change immediately.
Measuring Impact
| Metric | Typical Result |
|---|---|
| Questions answered without human | 60–80% of routine questions |
| Time to answer | Under 30 seconds (vs. hours waiting for Slack reply) |
| HR/IT ticket volume | 40–60% reduction in repetitive tickets |
| New hire time-to-productivity | 30–50% faster ramp |
| Interruptions to senior staff | Significant reduction after 2 weeks |
Privacy Considerations
Internal operations often involve sensitive information.
- Per-agent knowledge scoping means the HR agent never surfaces IT runbooks, and vice versa
- Workspace isolation means company data is never shared across other Conduity workspaces
- Memory management lets admins view and delete any stored memories
- BYOK option routes all AI requests through your own API key
- No model training — your policies and internal docs are never used to train AI models
Stop answering the same question twice
Upload your employee handbook, deploy to Slack, and watch the repeat questions disappear.
